Who we are
Data Charmers Pty Ltd (ABN 29 140 260 662) operates the Python Charmers, AI Charmers and Charmers Training websites, and the booking pages linked from them. This policy describes how the company handles personal information collected through those sites and through course bookings. Our office is Level 1, 20 Albert Street, Blackburn VIC 3130, Australia.
A related company, Python Charmers Pte Ltd, is in Singapore. "We" in this policy means Data Charmers Pty Ltd.
You can read the public pages without giving your name. Booking a course, joining a waiting list, sending a message or registering interest needs a name and an email address. Without them we cannot take the booking or reply.
What we collect
If you book a course, we collect:
- the name, email address and phone number of the person booking, their organisation if they give it, and any note they leave
- each participant's name and email address, and which days they are attending
- a phone number or a note about dietary or access needs, if a participant adds one later
We use a dietary or access note only to run that course.
Card payments are taken by Stripe. We do not receive or store the card number. We keep the amount, whether it was paid, and Stripe's payment reference. If you ask for an invoice, we hold the billing name, email address and organisation, and a billing address if you provide one.
The contact form stores your name, email address and message. Registering interest stores your name and email address, so we can write when a course you asked about is scheduled.
For Australian-based courses, the servers that host the sites and hold your booking are in Sydney. If you need your information held in a particular country, talk to us before you book. The servers keep an ordinary connection log: IP address, browser type and the address of the page requested. We use that log to keep the sites available and to deal with abuse. We do not use analytics or advertising cookies, and we do not record how long you spend on a page.
Why we use it
We use booking details to confirm your place and to take payment or raise an invoice. We also use them to tell you when and where to turn up, and to give the trainer the list of participants. We use a waiting list entry to contact you if a place becomes available, and a contact message to reply to you. If you registered interest, we email you about dates for the courses you asked about. Tell us to stop and we will.
We also keep booking and payment records because Australian tax law requires it.
Who else receives it
We do not sell personal information. We pass on only what another party needs for one job:
- Stripe, in the United States, processes card payments.
- Xero, based in New Zealand, holds invoices.
- Amazon Web Services hosts the booking database and the websites, in Sydney for Australian-based courses.
- Email is sent through Amazon's email service in Sydney, or through Google (Gmail) when we use that instead. Google processes that mail in the United States.
- The trainer running a course receives the names and contact details of its participants.
- Python Charmers Pte Ltd in Singapore may receive booking or enquiry details when that company is delivering the course or handling the enquiry.
Pages also load styles and scripts from jsDelivr and from cdnjs, which is run by Cloudflare. Your browser sends those networks your IP address and the page address. We do not send them your name or your booking. It is not practicable to list every country those networks use.
We disclose information when the law requires it, including to a court, a regulator, or our accountants and lawyers.
Cookies
Booking and order pages set a single cookie, csrf_token.
It stops another website submitting a form as if it were you.
It is not used to recognise you on a later visit, and it is not
shared with advertisers. The public course pages do not set a cookie.
Data retention
We keep booking and payment records for the period Australian tax law requires, which is generally five years.
Contact messages and registrations of interest stay on file so we can reply, and so we know who asked to hear about a course. We have not set a fixed end date for those records.
Waiting lists
When a course is full you can ask us to add you to its waiting list. We store the name, email address, phone number and any note you give us, so that we can contact you if a place becomes available.
We stop using a waiting list entry:
- 12 months after the course it relates to has finished; or
- 90 days after we contact you about a place, if that is sooner.
After that we no longer contact you about the entry, and our staff no longer see it. By default we keep the record itself in our own systems, as part of our internal business records. If you ask us to take you off the list, we take the record out of our systems too: see "Access, correction and complaints" below.
Access, correction and complaints
Email us and we will tell you what we hold about you, and correct anything that is wrong. You can ask to be taken off a waiting list, and we will remove that entry from our records. You can also ask us to stop sending course announcements.
If you think we have breached the Australian Privacy Principles, write to us first. We will look into it and reply. If you are not satisfied with that reply, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au, or by post to GPO Box 5218, Sydney NSW 2001.
Changes to this policy
When the way we handle personal information changes, we update this page and the date at the top.
